In RecStaff, there is a Manager shift board and an Employees shift board.  This help file explains a manager's shift board.  

The shift board is where shifts are posted for pick up.  


The different ways a shift can be posted are:

1.  Employees can post their shifts

2.  Employees can arrange for someone to pick up a shift they plan to post (optional and called a trade in RecStaff)

3.  Employees can split shifts and post the part they split off (optional)

4.  Managers can post shifts for employees

5.  Managers can post open shifts (shifts not filled when a schedule is published)


The different ways a shift can be picked up are:

 1.   Managers can choose who the shift goes to when "Requires Manager Approval to pick up"

 2.   Managers can allow staff to pick up based "first come first serve"

 3.   Managers can have a combination of these two i.e., senior staff may have not require manager approval


Shift Board Settings control how shifts are posted and picked up.  Managers will decide on how they want the shift board to work and assign the proper settings.  To learn more about the shift board settings click here


Manager's Shift Board Explained



Employees requesting a shift are listed based on the order the requests came in.  However, you can change the sort order to default to alphabetical or seniority.  To do this:

  1. Click on the magnifying glass in the upper right of the screen (highlighted in yellow above)
  2. Click on the Sort Pickup Requests by chevron and choose the option required
  3. Click on Search to display the new sort order



For more information on each requesters availability for the week click on the calendar icon in the upper right (highlighted in orange in top picture) to find out:

1.   Static availability

2.   Shifts they are currently working 

3.   Any over time or hours constraints that will occur if given a shift (see red error below)


Note:  Staff can also put notes on a shift they requested (see top picture green highlighting under Christina Webb's request to pick up).



How to trade a shift


When an employee needs to give up a shift but has found a replacement they can set the posted shift up as a trade (see the shift below with the poster and requester names highlighted in red).  Katelyn still has to request this shift through RecStaff so it can be assigned to her by the manager and other staff members are able to request it as well in case Katelyn changes her mind.



How to give a posted shift to a requester 


When "Requires Manager Approval to pick up Shifts" is set to yes it is the managers responsibility to clean the shift board of shifts.  This can be done by:


1.  Selecting the person who will take over the shift

2.  Unposting the shift if you do not want the staff member to post the shift, the shift will remain with the poster

3.  Unposting the shift because you need to cancel the shift, reassign to someone not on the pick up list, split the shift...


Selecting the person who will take over the shift

1.  Click on the name of the person you want to give the shift to and a check mark will appear beside their name (see below)

2.  Click on the tick box beside the shift you are approving

3.  Click the menu option Approve Selected Changes 


Note:  You can approve multiple shift changes in one approval operation.


Unposting a shift

1.  Click on the tick box beside the shift(s) you want to unpost

2.  Click the menu option Unpost Selected Shifts
