After your first training session, you will use this reference guide to help practice and master creating schedules. 


Note:  For the majority of customers, staff availability has not been entered at this stage because staff have not been asked to login yet. However, the steps below explain the process when staff have filled out their availability.  Please read the First Schedule Publish help file for a more detailed explanation.  When you are ready to start a new session/season of schedules the First Schedule Publish help file will explain the steps to take.



In RecStaff, you create 7 day schedules and copy them forward for your session or scheduling needs.  However, we recommend you create only 2-3 schedules before you’ve completed training session 2.


Steps to create and copy schedules

  1. The first non-practice schedule you create will be your ‘template’ schedule.  In your template schedule, you create the regularly recurring shifts for the session.  When creating this schedule you will be provided with staff availability related to:
  • static availability (what staff have indicated they can work on a regular basis) 
  • approved time off
  • whether staff are working another shift on this or other schedules
  • credential issues

2. Once the 'template' schedule is ready you will copy it for the next 1-2 weeks making changes to each week as needed.  


3. The copied schedules will need to be run through the conflict report to ensure availability is accurate. The Conflict Report will check whether staff are:

  • working on other schedules when their shifts occur
  • on approved time off when their shifts occur 


      4.  You are now ready to contact RecStaff to set up and complete training session 2. Training session 2 will cover how to use RecStaff on a daily basis.
